If you’re feeling stretched thin, struggling to balance client demands, firm operations, and personal time, you’re not alone. I am heavily involved in the PTA at my kids' school between being a Board officer, working on different committees and volunteering time to plan and hold events. I am routinely asked how I can run a business and still be so involved at my kids' school. Time-blocking is my answer. I block off time for everything school-related as soon as I see an announcement. I build my work schedule around those blocks. Being a business owner affords me the flexibility to prioritize my kids first and work commitments second.

Time-blocking is effective because it eliminates decision fatigue. Instead of wondering, “What should I work on next?” the decisions are already made for you. This way, you can jump straight into your work without hesitation or wasted energy.

  1. Identify Your Priorities - What are the tasks that move your firm forward? These might include preparing for cases, business development, or strategic planning. Start by blocking time for these high-value tasks during your peak energy hours.

  2. Block Time for High-Value Tasks First For many people, morning is the most productive time. Use these hours for deep, focused work that requires your full attention.

Next, schedule blocks for routine tasks like answering emails or returning phone calls. By giving these tasks dedicated time, you prevent them from taking over your entire day.

Build Flexibility into Your Schedule

A common concern with time-blocking is what to do when emergencies pop up. The solution is to build buffer time into your day. These blank blocks act as a safety net for unexpected tasks or give you a breather if everything runs smoothly.

If nothing urgent comes up, use this time to catch up on work or even take a well-deserved break.

  1. Group Similar Tasks Together - Batching tasks like client calls or case reviews can save mental energy. Switching between tasks often disrupts focus, but grouping similar activities helps you stay in the zone.

  2. Include Personal Time in Your Calendar - Don’t forget to block time for yourself. Whether it’s an hour at the gym, dinner with family, or simply relaxing, personal time deserves a spot on your schedule. If you don’t prioritize it, no one else will.

  3. Choose the Right Tools for Time Management - You can use a paper planner, but digital tools like Google Calendar or Asana work well for time-blocking. These tools allow you to adjust plans easily and set reminders so you stay on track.

Stay Accountable to Your Schedule

Time-blocking requires discipline. It’s tempting to push tasks around when distractions arise, but sticking to your blocks is crucial. If you notice certain tasks consistently taking longer than planned, adjust your schedule to reflect that.
